Privacy Policy

This privacy policy describes how New Hudson Technologies LLC ("we", "us"), operator of the The Botler scheduling and messaging service for independent barbershops (the "Service"), handles personal information collected through it. The Service operates over SMS, WhatsApp, and Instagram Direct Messages; the same policies apply to all three channels.

What we collect

When a customer books an appointment with a participating barbershop, we process:

  • Phone number (when booking via SMS or WhatsApp)
  • Instagram user ID and username (when booking via Instagram Direct Messages). We receive these only for users who initiate a conversation with a connected barbershop; we never scrape public profile data.
  • Name (when the customer or barber provides it)
  • Message content exchanged with the barbershop's The Botler bot
  • Appointment details (service, date, time, notes)
  • Payment status for deposit transactions. We do not collect card numbers ourselves — those go directly to Stripe or Square.

How we use messaging data

Phone numbers, Instagram identifiers, and message contents are used solely to:

  • Confirm and remind about appointments you have booked
  • Notify you about deposit / payment status for your appointments
  • Allow you to reschedule or cancel via reply
  • Answer questions about the barbershop's services, hours, pricing, and availability during the booking conversation

We will not share, sell, lease, or otherwise transfer mobile phone numbers, Instagram identifiers, message content, or any opt-in / consent data to any third parties or affiliates for marketing or promotional purposes. This information is not shared with third parties for marketing under any circumstances. Information is shared only with the specific barbershop you are booking with, and with operational subprocessors strictly for the purpose of delivering the Service (Twilio for SMS / WhatsApp delivery, Meta for Instagram Direct Message delivery, Stripe and Square for payment processing, and our hosting provider). None of these subprocessors are permitted to use opt-in or messaging data for their own marketing.

Opt out

Reply STOP to any message at any time to opt out of further messages from a participating barbershop on that channel (SMS, WhatsApp, or Instagram). Reply START to resubscribe, or HELP for help. Standard message and data rates may apply for SMS and WhatsApp.

Data retention

Appointment and conversation history is retained for as long as the barbershop maintains an active account, plus a reasonable archival period. Instagram conversations are also subject to Meta's own retention policies on Meta-controlled infrastructure. You may request deletion of data we hold by contacting the barbershop directly or emailing newhudsontechllc@gmail.com. See our Data Deletion Instructions for step-by-step details.

Your rights

Depending on your jurisdiction (including California's CCPA/CPRA and the EU's GDPR), you may have rights to access, correct, port, or delete your personal information. To exercise these rights, email newhudsontechllc@gmail.com.

Children

The Service is not directed at children under 13 and we do not knowingly collect personal information from children under 13.

Changes

If this policy is updated, the new version will be posted at this URL with a revised effective date.
